Project Kickoff Checklist

A guide to leading a successful integration project kickoff, including best practices, stakeholder tips, and a ready-to-use checklist.

A well-executed project kickoff is the foundation for a successful integration. This article outlines best practices for leading an effective kickoff meeting and managing the initiation phase of your integration project.

Pre‑Kickoff Phase

  1. Review DataBlend Agreement & Kickoff Survey
Ensure the project scope, responsibilities, and timeline are clear before engagement.

  2. Confirm DataBlend Group Exists
Verify that Users, Plugins, and a Group have been set up within DataBlend.

  3. Confirm any implementation partners involved
Identify if third-party partners or internal resources will participate in the implementation.

  4. If script in scope, confirm API documentation has been received/reviewed
If scripts are part of the implementation, make sure the API docs are available; if not yet received, request them before kickoff.

  5. If SFTP files in scope, confirm file samples have been received/reviewed
For SFTP use cases, request sample files. If not yet provided, ask the client to prepare them ahead of kickoff.

  6. Send formal Welcome Email & schedule kickoff meeting
Share a warm welcome, agenda, and calendar invitation to all participants.

Project Kickoff Checklist

  1. Prepare Kickoff Slide Deck
Gather key project information and structure the presentation for the kickoff meeting.

  2. Conduct Kickoff Meeting
Align all stakeholders on project goals, scope, and timeline.

  3. Identify Key Points of Contact
    Confirm contacts for:
    -  Decision maker
    -  Data requirements
    -  System access
    -  Implementation partners
  4. Finalize Workflow Prioritization
Confirm scope, priority of the workflow(s), and data dependencies.

  5. Confirm Target Go-Live Date
Agree on a target date for the DataBlend integration to go live.

  6. Introduce Mapping Document
Share and review the document that outlines field mapping between systems.

  7. Confirm credentials for Source and Target systems
Confirm access to Sandbox/UAT environments, if used

  8. Schedule Weekly Check-ins
Schedule regular status cadence for consistent communication and updates.
An effective kickoff preparation will reduce rework, clarify responsibilities, and keep your integration project on track.
