Sage Intacct Credentials - How to Create Web Service User
In Intacct Navigate to Company à Admin à Web Services user then click the plus icon to create a new user, if you don’t already have one set up.
If creating a new web services user you will need to fill in:
- User ID à (something easily identifiable for the Datablend user (i.e. DataBlendWSU)
- Username à (could be the same as the User ID)
- Account email address à (an email that can receive emails and doesn’t belong to a single user that could potentially leave the company)
- Status à Will stay ‘Active’
- Contact name à You will create a new contact name that is specifically for this user. Click the drop-down button on the right and then click “add”.
- Fill in the following fields:
- First name
- Last name
- Scroll to the bottom to ensure the “Suggested contact name” and “Print as” name are populated, then click save in the dialogue box.
- Once saved you will now have a user and should be back on the Web Services user information screen.
- Fill in the following fields:
- Scroll down to the last section Sage Intacct Financials permissions
- The Role is important!
- Whatever restrictions are on the role will be the same restrictions the web service user will have when using it with DataBlend. Ensure if you are using the Admin role, it has all the required permissions to perform actions you would expect the integration to perform. If you want to limit the role to a specific subset of admin, you are free to do so, but understand the limitations. This decision lies with your team internally.
- Once the role has been set Save the newly created user. You may be prompted with a warning dialogue that creating a new user could result in additional charges. (not necessarily accurate as it is a web services user so OK to continue) continue by clicking “Create”.
- You may then be prompted to reenter you password to create (enter it to verify), if not that is OK.
- Once completed you should see the web services user in the list of users (you should now receive a password from Intacct to use; sent to the email that was used to setup the web services user)
- Next you will navigate to Company à Setup à Company à Security tab and click edit (on the top right of the screen)
- Scroll to the Web Services authorizations (You will need to approve your sender ID from here)
- Click Add, and add your application as an authorized client.
- Once added and saved you will navigate back to the DataBlend site to enter credential information and test the connection is valid.
- Navigate (In DataBlend) to Connect & Transform à Credentials à Add
- Select Sage Intacct and begin to fill out the required fields
- Name (Name the credential something identifiable
- Company ID (Your Sage Intacct company ID)
- User ID (The webservices user ID)
- User Password (The webservices user password sent to the email)
- Sender ID (The ID from the authorization step)
- Sender Password (Password from the authorization step)
- Once completed, Save the credential then click “Test Now” (there should be a “Valid” Status to indicate a successful connection.
Leave “User type” à Business and “Admin privileges” à Off
*** To interact with the Sage Intacct API, a Sender ID is required. If your organization has an active Sage Intacct Data Flow subscription, DataBlend uses its own Sender ID provided by Sage Intacct specifically for use with Data Flows. In instances when subscribing to Data Flows is not an option, in order to connect to Sage Intacct’s API, your organization will need to subscribe to Web Services Developer License. In this case, your organization will receive its own Sender ID which will be used for your implementation. Web Services Developer Licenses are typically needed in situations where a very high volume of API usage is expected or for applications where Data Flows may not be used. These applications include, but are not limited to, SAP Concur and custom integrations for ADP.
The Sender ID is tied up to the Web Services Developer License. When your company signs up for that license, the Sender ID and password are provided to your Sage administrator. ***
